Reporting — Access Controls for Report Views
Control whether your saved report configurations are private or shared with other Data Trust users.
Overview
Data Trust allows you to control the visibility of saved report configurations. When saving a report, you can set it as Private (visible only to you) or Shared (visible to all users). The Access Controls for Report Views feature lets you update these access settings on existing saved reports at any time after creation.
Prerequisites
- You are logged in to Data Trust with a Pro-User or Admin Pro-User role.
- At least one saved report configuration exists.
Opening the Saved Reports Panel
Path: Data Trust › Reporting › Any Dashboard › Reports IconNavigate to any Reporting dashboard and click the Reports icon in the toolbar to open the Saved Reports panel where all report access settings can be managed. The Reports icon is available on every Reporting dashboard toolbar, so you can manage your saved report library from whichever dashboard you are currently viewing.
The Saved Reports panel lists all your saved report configurations, each showing its name, current access level (Private or Shared), and an Edit/Update action button. The access level badge next to each report name gives you a quick visual indicator of whether the report is currently visible only to you or to all users.
Updating a Report's Access Settings
- Open any Reporting dashboard and click the Reports icon.
- Locate the target report and click its Update (edit) icon.
The Update Report dialog opens.
The Update Report dialog allows you to change the report name, description, and access level — choosing between Private (visible only to you) and Shared (visible to all users). Changing a report from Private to Shared makes it immediately available to all users with access to the Reporting module, so only share reports that are intended for team-wide use.
- Change the Access setting to Private or Shared.
- Click Update to save the new access settings.
A success notification confirms the report access level has been updated.
A success toaster confirms that the report has been updated with the new access setting and will now be visible according to the chosen access level. If you set the report to Shared, other users will see it in their Saved Reports panel the next time they open the Reports panel on that dashboard.
