Reporting — Asset Inventory Report
View and manage a complete inventory of all Data Trust assets — scenarios, queries, jobs, and more — with filtering, export, and email sharing.
Overview
The Asset Inventory Report provides a comprehensive inventory of all Data Trust assets — FDR scenarios, Validation scenarios, TDR scenarios, BDV scenarios, Query Chains, QPT scenarios, Queries, and Jobs — owned by the current user or all users across the platform.
Prerequisites
- You are logged in to Data Trust with a Pro-User or Admin Pro-User role.
Accessing the Asset Inventory Report
Path: Data Trust › Reporting › Asset Inventory ReportFrom the Reporting module, select 'Asset Inventory Report' in the navigation panel to open the report and view a complete inventory of all data quality assets. The Asset Inventory Report is designed for administrators and data owners who need to audit what assets exist in the platform and who owns them.
The dashboard opens showing counts of all asset types — FDR, Validation, TDR, BDV, Query Chain, QPT, Query, and Job — grouped by owner or asset type. Each asset type tile shows the total count for that category, giving you an instant overview of the platform's content footprint.
Dashboard Toolbar
The Refresh icon reloads the asset inventory with the latest counts from the platform, ensuring new assets created since your last visit are included. The Excel icon exports the complete asset inventory to a spreadsheet, which is useful for governance audits, license reviews, or tracking asset growth over time.
Filtering the Inventory
Click the Global Filter icon in the toolbar to open the filter panel, where you can specify which users, asset types, or profiles to include in the inventory view. Filtering the Asset Inventory is particularly useful for administrators who want to review assets owned by a specific user or within a specific data profile.
The Global Filter tab lets you select criteria such as User, Asset Type, or Profile to narrow the inventory to the specific assets you need to review. Combining User and Asset Type filters — for example, viewing only the FDR scenarios owned by a specific user — gives you a focused audit view.
After configuring the filter criteria, click Preview to see the assets that match your selection before applying the filter to the full inventory dashboard. Previewing prevents you from accidentally filtering to an empty result set by confirming that the selected criteria match the expected assets.
Saving a Report
Click Save Report As to save the current Asset Inventory view — including all active filter settings — as a named report for future reference and reuse. Saving frequently used filter configurations as named reports avoids the need to recreate the same filter setup each time you run an inventory audit.
The Save Report As dialog prompts you to enter a descriptive name for the report, such as 'Admin User Assets' or 'Finance FDR Inventory', before saving. A clear, descriptive name makes it easy to identify the right saved report when you return to the Asset Inventory panel in a future session.
A success toaster confirms that the Asset Inventory report configuration has been saved and is now listed in the Saved Reports panel. You can immediately load the saved report by clicking the Reports button in the toolbar and selecting the report name from the panel.
Loading Saved Reports
Clicking the Reports button in the toolbar opens the Saved Reports panel, which lists all previously saved Asset Inventory configurations for instant reload. This panel lets you switch between different saved inventory views — for example, from an all-assets view to a user-specific view — without reapplying filters manually.
The Saved Reports pop-up lists all saved Asset Inventory report configurations, each showing its name, access level, and a Load button. Click any saved report name to immediately restore its filter configuration and refresh the inventory dashboard with those settings applied.
Sharing by Email
Click the Send Email button in the toolbar to share the current Asset Inventory view with colleagues, administrators, or compliance officers via email. This is useful for distributing periodic asset audit reports to stakeholders who need visibility into platform asset counts without accessing Data Trust directly.
The Send Email dialog lets you enter recipient email addresses, a descriptive subject line, and an optional message before delivering the Asset Inventory report. All recipients receive the same asset inventory data, making this an efficient way to distribute a consistent report to multiple stakeholders simultaneously.
A success toaster confirms the Asset Inventory email has been delivered to all specified recipients. If the send was not successful, an error message would appear instead — in that case, verify the recipient addresses and try again.
Viewing All Assets
Click the All Assets tab to switch from the owner-grouped summary view to a complete flat list of every asset across the entire platform, regardless of owner or type. The All Assets tab is particularly useful for platform administrators who need a total count and listing of all content in Data Trust for capacity planning or governance reviews.
The All Assets page displays every asset in Data Trust in a sortable grid with columns for asset name, asset type, owner, creation date, and last modified date. Sort by Last Modified Date in descending order to quickly identify recently created or updated assets, which is useful for change management and audit workflows.
