Security — User Management
Create, edit, delete, and manage user accounts, roles, and access controls in Data Trust.
Overview
The User Management section of Data Trust allows administrators to create, edit, and manage all user accounts on the platform. From here you can control user roles, authentication modes, monitor active sessions, manage locked accounts, and set user status.
Navigating to User Management

In the left sidebar of Admin Console, click the shield icon (Security) to expand the Security menu, then click Users to open the User Management page.
Users Page Overview

The Users page opens on the All Users tab and lists every user account in the system. Columns show: Status (active/inactive indicator), User Name, First Name, Last Name, Email, Expiry Date, Administrator flag, User Type (ProUser / Display User), Created On, and Authentication Mode. License usage counters at the top show how many ProUser and Display User license keys are in use versus the total available.

The toolbar at the top-right provides quick access to all user management actions: Edit (pencil), Delete (bin), Restore (undo), Pin, Download, Search, Refresh, Locked Users, and the + User button for creating new accounts. Select a user row first to enable the Edit and Delete buttons.
Editing a User
- Select the checkbox next to the user you want to edit.

Click the checkbox next to a user's row (here, 'David') to select them. The Edit and Delete buttons in the toolbar become active once a user is selected.
- Click the Edit (pencil) icon in the toolbar. The Edit User popup opens.

The Edit User popup allows you to update the user's First Name, Last Name, Email, Administrator flag, Active Directory Authentication, Change Password, Role Type (ProUser / Display User), and User Groups assignment. The User Name field is read-only and cannot be changed. Click Save to apply changes or Cancel to discard.
- Make your changes and click Save.

A success confirmation is displayed after saving, indicating the user's details have been updated. The user list refreshes to show the new values.
Deleting a User
- Select the checkbox next to the user you want to delete.

Select the target user's checkbox to enable the Delete button in the toolbar.
- Click the Delete (bin) icon. The Delete User popup opens with a Delete Type toggle.

The Delete User popup defaults to Soft Delete, which is the recommended option. A soft delete preserves the user's existing content history while preventing the username from being reused until a permanent delete is performed. Use this option to safely retire a user account without losing audit trails.
- Toggle Delete Type to switch to Permanent Delete if needed.

Switching the toggle to Permanent Delete will completely remove the user and all associated data from the system. This action cannot be undone. Use only when you are certain that no historical data from this user needs to be retained.
- If the user has data that needs to be transferred before deletion, a Transfer Data popup appears.

If the user account has scenarios, reconciliations, or other objects associated with it, Data Trust will show an error or prompt before allowing deletion to protect data integrity.
- Complete the data transfer if prompted.

The Transfer Data popup lets you reassign the departing user's objects (scenarios, profiles, etc.) to another active user. Select the target user from the dropdown and click Transfer to proceed with deletion.
- Confirm the deletion.

A success message confirms the user has been deleted. The user is removed from the All Users list. If a soft delete was used, the username remains reserved until the record is permanently purged.
Viewing Logged-In Users

Click the Logged In Users tab (next to All Users) to see all currently active sessions. The table displays User Name, Login Time, Browser Type, Device OS, and IP Address for each active session. Use this view to monitor who is currently using the system.
Creating a New User
- Click the + User button in the top-right corner.

The + User button is available at the top-right of the Users page. Click it to open the Create User form.
- Fill in all required fields in the Create User popup.

The Create User popup requires: User Name (unique identifier, cannot be changed later), First Name, Last Name, Email, Password and Confirm Password, and User Type (ProUser or Display User). Optionally check Administrator to grant admin privileges, or enable Active Directory Authentication to use your organisation's AD/LDAP for login. Click Save when done.
- Review the created user's details.

After saving, the new user's details are shown confirming all fields were saved correctly. Verify the Role Type and Administrator flag before closing.
- Confirm the success message.

A success confirmation appears confirming the new user account has been created. The user can now log in to Data Trust using the credentials you provided.
Managing Locked Users
- Return to the All Users tab.

The All Users tab shows the complete list of users. Accounts that have been locked due to failed login attempts will be visible here.
- Click the Locked Users button in the toolbar.

Click the Locked Users button (person icon with lock) to open the Locked Users management dialog.
- View and unlock accounts as needed.

The Locked Users dialog lists all accounts currently locked out of the system. Columns show User Name, First Name, Last Name, Email, Created On, and Status. Select a locked user and click Unlock to restore their access immediately.
Activating and Inactivating Users
- Select a user from the All Users list.

Select the user whose status you want to change. You can toggle a user between Active and Inactive without deleting their account — useful for temporary suspensions.
- Click the User Status (toggle/pin) icon in the toolbar.

The User Status popup shows a toggle between Active and Inactive. Click Inactive to suspend the user's access, or Active to reinstate it. The change takes effect immediately.
- Set the user to Inactive.

After selecting Inactive, the toggle moves to the Inactive position. Click to confirm the status change.
- Confirm the success message.

A success message confirms the user's status has been changed to Inactive. The user will no longer be able to log in until their status is restored to Active.
