Data Retention is a part of System Preferences session page. Data Retention helps in retaining the Data and as an admin pro-user, the user has the following radio button options namely:
- Retain all- The user can retain all the data.
- Retain data for the recent number of runs- The user can retain the data for the selected number of session runs.
- Retain data only for the last number of days- The user can retain the data from a particular selected day to the present day.
- Retain data since (Data Retention date format)- The user can retain the data from a particular selected date to the present date.
To learn about the Data Retention tile, let us walk through the below procedure:
- Click the ‘ADMIN CONSOLE’ tab.
- Hover on the left-hand side of the application to view available options.
- Click the ‘System Preferences’ option.
Path: ADMIN CONSOLE > System Preferences
- The ‘Preferences’ session page is displayed.
- Under the ‘Preferences’ page, a couple of tiles are displayed.
- Click the ‘Data Retention’ option.
- A ‘Data Retention’ page is displayed.
Various Data Retention radio button options are displayed below:
- Retain all: Enabling this option allows the user to retain all the Data.
- Retain data for the recent ( ) number of runs: Enabling this option allows the user to retain the Data for the selected number of session runs.
- Retain data only for the last ( ) Days: Enabling this option allows the user to retain the Data from a particular selected day to the present day.
- Retain data since ( ) $$: Enabling this option allows the user to retain the Data from a particular selected date to the present date.
Note: By default, ‘Retain data since’ (fourth option) is selected.
- Click the ‘Show Variables’ ($$) button beside the ‘Retain data since’ text field.
Path: ADMIN CONSOLE > System Preferences > Data Retention
- A ‘Variables’ pop-up window with three tabs namely Predefined variables, User defined variables, and Predefined functions is displayed.
Note: By default, Predefined variables tab is selected
- Under the Predefined variables tab, a tabular grid with Variable Name and Description columns are displayed.
Note: A similar tabular grid with Variable Name and Description column names are displayed for other tabs namely User defined variables and Predefined functions.
- Let’s suppose, click the ‘Variable Name’ (RD_TODAY YYYY-MM-DD).
Note: As soon as the user selects the Variable Name (RD_TODAY YYYY-MM-DD), the ‘Metadata’ slide page appears on the right side.
- Click the ‘Test Result’ button.
- ‘2022-01-21’ Predefined variable is added in the ‘Result’ field.
- Click the ‘Ok’ button.
- The variable is added to the ‘Retain data since’ text field.
- Click the ‘Save’ button.
- A message ‘Data Retention Saved Successfully’ is displayed.
- Click the ‘Menu’ button to navigate back to the ‘Preferences’ session page.
